Marketing reporting and dashboards: what to track and which tools to use in 2026

By Christian Bozic, Founder of Marketing AIgency · Updated · 9 min read

Short answer

A good marketing dashboard starts with the numbers from your own systems: revenue or leads, total ad spend and the ratio of the two (MER), then customer acquisition cost and contribution after ads. Platform metrics such as ROAS, CPA and CTR per channel come second, because Meta, Google and TikTok each count conversions their own way and their totals overlap. Most teams build this in Data Studio (formerly Looker Studio, free) with a data connector, or in a BI tool such as Power BI at $14 per user a month.

Key takeaways

  • Lead every report with company revenue or leads, total spend and MER. Platform ROAS goes in its own section.
  • Never add up conversions from Meta, Google and TikTok. In one market in September 2026 the three platforms together claimed 2.2 times the revenue the company actually made.
  • Different readers need different views: founders want the business result, marketing leads want channels and tests, finance wants cost and margin.
  • Tools range from free (platform dashboards, Data Studio) to connectors from €39 a month and data pipelines from $300 a month (prices as of September 2026).
  • Report weekly to the people who run the ads and monthly to founders and finance.

What should a marketing report contain?

A marketing report answers one question for its reader: is the money we put into ads coming back, and what do we do next? That means it starts with business results, then explains them by channel, then lists what changed and what comes next. The right level of detail depends on who reads it.

What each reader needs from an ads report
ReaderMain questionLead metricsLevel of detail
Founder or CEOIs marketing growing the business profitably?Revenue or leads, total spend, MER, CACOne page, trend over 8 to 12 weeks
Marketing leadWhich channels, campaigns and tests work?Spend, CPA and ROAS by channel, new vs returning customers, test resultsChannel and campaign level
FinanceWhat did we spend, and did it pay for itself?Spend against budget, CAC, contribution after ads, paybackMonthly, reconciled with invoices
Media buyerWhat do I change today?CPA, CPM, CTR, frequency, creative fatigueAd set and ad level, daily

One report rarely serves all four. A common setup is one dashboard with a summary page on top and drill-down pages below, so the founder stops at page one and the buyer goes three levels deep.

Which KPIs matter most?

The KPIs that matter are the ones you can check against your bank account. Revenue from your shop or CRM, total ad spend across platforms, and what is left after both. Platform numbers help you steer inside a channel, but they are estimates.

Core KPIs for an ads report
KPIFormulaSource of truthWho reads it
MER (marketing efficiency ratio)Total revenue ÷ total ad spendShop or CRM plus ad invoicesFounder, finance
CAC (customer acquisition cost)Marketing spend ÷ new customersCRM or shop, new customers onlyFounder, finance
Contribution after adsRevenue − cost of goods − variable costs − ad spendAccountingFinance
Platform ROASRevenue the platform attributes ÷ spend on that platformMeta, Google, TikTokMarketing lead, buyer
CPA / cost per leadSpend ÷ conversions the platform reportsAd platform, checked against CRMMarketing lead, buyer
CTR, CPM, frequencyClicks ÷ impressions, cost per 1,000 impressions, impressions ÷ reachAd platformBuyer

MER = total revenue ÷ total ad spend (all channels, same period)

MER includes revenue that would have come anyway, so it is not a pure measure of ad impact. It is still the most honest top-line number, because nobody can double-count it. For the full comparison of MER and platform ROAS, read our true ROAS guide.

Why can't you add up conversions from Meta, Google and TikTok?

Each platform counts a sale if its own ad touched the customer within its own window. When one customer saw a TikTok video, clicked a Meta ad and then searched on Google, all three can claim the same order. Add them up and you report revenue that never happened.

We see this in live data. A connected-car app steers its ads with the Marketing AIgency agent system. In Germany in September 2026, Meta, Google and TikTok together claimed 2.2 times the revenue the company actually made. Google alone reported €31.3k, while the company booked €23.4k.

The rules also change under your feet. Google Ads uses data-driven attribution as the default for most conversion actions and no longer supports first click, linear, time decay or position-based models (Google Ads Help). Meta removed the 7-day and 28-day view windows from its Ads Insights API on January 12, 2026, and limits unique-count fields and hourly breakdowns to 13 months of history (Meta for Developers, October 16, 2025). A dashboard that pulled those numbers shifted overnight, although sales did not.

The fix is to show platform numbers in their own section, labelled as platform numbers, and to put the company number on top. How the different attribution models split credit is explained in our guide to marketing attribution models.

Which marketing dashboard tools are there, and what do they cost?

Most setups combine three layers: a source of data (ad platforms, shop, CRM), a connector that moves the data, and a place where you look at it. You can buy all three in one tool or assemble them.

A practical rule: with one or two channels and a Shopify store, Data Studio plus a connector is enough. Once finance wants marketing and margin in one place, a BI tool fed by a data pipeline pays off.

Should you report weekly or monthly?

Both, for different people. Weekly reports are for the people who change campaigns; monthly reports are for the people who change budgets. Daily numbers belong in the platforms, not in a report.

Reporting cadence by purpose
CadenceAudienceContentDecisions it drives
Daily (dashboard, no report)Media buyerSpend pacing, CPA, broken adsPause, fix, shift budget within a channel
WeeklyMarketing lead, founder in small teamsCompany number vs last week, channel split, tests, change logNext week's tests and budget shifts
MonthlyFounder, financeMER, CAC, contribution, budget vs actual, 3-month trendBudget for next month, channel mix
QuarterlyLeadershipIncrementality tests, CAC payback, plan vs actualStrategy and annual budget

Compare weeks Monday to Sunday and use the same weekday cut-off every time. Many conversions arrive days after the click, so the last two or three days of any week look worse than they will end up.

What does a good report template look like?

  1. Headline in one sentence. For example: revenue up 8% week on week at the same spend, MER from 3.1 to 3.4.
  2. Company table. Revenue or leads, total spend, MER, new customers and CAC, this period against the previous one and the same period last year.
  3. Channel section, labelled as platform numbers. Spend, platform ROAS or CPA, share of spend per channel.
  4. What changed and why. Every budget move, pause or new campaign with its reason, taken from the change log.
  5. Tests. What ran, what won and how you judged it.
  6. Next steps. Two to five decisions for the coming period, each with an owner.

What are the most common reporting mistakes?

  • Summing platform conversions. Totals overlap across Meta, Google and TikTok; see the 2.2x example above.
  • Vanity metrics on page one. Impressions, reach and CTR describe activity, not results. Put them in the buyer's section.
  • Mixing attribution windows. Comparing a 7-day click number from Meta with a data-driven number from Google compares two different rulers.
  • No link to money. A report without revenue, margin or CRM leads cannot tell you whether to spend more.
  • Changing definitions quietly. If you switch from gross to net revenue, say so and restate the history.
  • Losing history. Export platform data regularly, because some breakdowns are only kept for a limited time.
  • No change log. Numbers without the reasons behind them turn every meeting into guesswork.

When platform numbers and company numbers disagree, a question after checkout helps you see which channel customers remember. Our guide to the post-purchase survey shows how to set one up.

How does Vibe Reporting in Marketing AIgency work?

Vibe Reporting is included in every Marketing AIgency tier. You describe the report you want in plain language, for example weekly revenue and spend by country with MER and the three biggest changes, and you get it. You can upload a spreadsheet, such as a CRM export or a margin sheet, and ask questions of the numbers. The Co-Pilot chat builds reports too, typed or dictated, in any language.

The data comes from your connected ad accounts and from your company number: Shopify, your CRM, a Google Sheet or our own first-party pixel. That is the same number the agents use when they propose changes, so the report and the decisions rest on the same base. Meta is fully live; Google Ads and TikTok connect the same way with one-click login and run like Meta.

Vibe Reporting does not replace a BI team that models your entire business. It replaces the hours spent copying numbers from three ad managers into a spreadsheet every Monday.

Frequently asked questions

What is the best marketing dashboard tool?

It depends on your stack. Data Studio (formerly Looker Studio) is free and works well with a connector such as Supermetrics for Meta and TikTok. Companies that report finance in Microsoft often use Power BI, and agencies with many clients use tools like AgencyAnalytics.

What should be in a Facebook ads report?

Spend, results against your goal (purchases, leads), cost per result, ROAS, CPM, CTR and frequency, broken down by campaign and creative. Put Meta's revenue next to the revenue in your shop or CRM, and label Meta's number as a platform figure.

What is the difference between MER and ROAS?

ROAS divides the revenue a platform attributes to itself by the spend on that platform. MER divides your total revenue by your total ad spend across all channels. MER cannot be double-counted, ROAS can.

How often should marketing be reported?

Weekly for the people who run campaigns, monthly for founders and finance, and quarterly for strategy and incrementality results. Daily numbers belong in the ad platforms.

Is Looker Studio still free?

Yes. Google renamed Looker Studio back to Data Studio in April 2026, and the free version continues. Data Studio Pro costs $9 per user per project per month (September 2026).
